Getting started
Set up your workspace and record your first part in PorterBase.
5 minute read
Before you begin
PorterBase tracks parts from the moment they are ordered or received until they are installed, returned, damaged, or lost. Your workspace keeps each business and its inventory separate.
The person who creates a business is its Owner. During setup, the Owner enters the business details, creates at least one warehouse, and can add technicians.
Complete workspace setup
- 1Choose the business type that best describes your company.
- 2Enter the business name and contact details.
- 3Create your first warehouse. Use a name your team will recognize, such as Main Warehouse or North Shop.
- 4Add technicians now, or skip this step and invite them later from Team.
- 5Finish setup to open the admin dashboard.
If you manage more than one business, use the business switcher in the top bar. Records never move between businesses when you switch.
Recommended first workflow
- 1Open Warehouses and add storage locations such as A-1, Receiving, or Back Shelf.
- 2Open Categories and Vendors to add the labels you use most often.
- 3Open Quick Add and scan a barcode, or enter a part number manually.
- 4Create the part if it does not exist, then enter its quantity, warehouse, and location.
- 5Open Parts to confirm the available quantity and review the new inventory activity.
How PorterBase counts stock
- Available means warehouse stock that is not currently reserved for a technician.
- Assigned means stock allocated to a technician, including job parts and van stock.
- Ready for Pickup is reserved at the warehouse but not yet collected.
- Picked Up is physically with the technician and not yet installed.
