Understand assignments, pickups, installations, returns, damage, and loss.

The standard lifecycle
| Stage | What it means | Who acts |
|---|---|---|
| Available | The part is in warehouse stock and can be allocated. | Admin or manager |
| Ready for Pickup | The part is reserved at the warehouse for a technician. | Admin or manager |
| Picked Up | The technician has collected the part. | Technician or manager |
| Partially Used | Some assigned units were installed; others remain with the technician. | Technician or manager |
| Installed | All assigned units were marked used on the job. | Technician or manager |
Assign stock to a technician
- 1Open a part and select Assign to Technician.
- 2Choose the technician and source warehouse.
- 3Enter the quantity.
- 4Choose Van Stock for general truck inventory or Job Part for a specific job.
- 5For a job part, enter the Job ID.
- 6Choose Ready for Pickup if the part is still at the warehouse, or Picked Up if the technician already has it.
Correct lifecycle actions
- Mark Picked Up moves the entire reservation from Ready for Pickup to Picked Up.
- Mark Used records installed quantities. A partial quantity becomes Partially Used.
- Undo Used corrects an installation entry without creating a new part.
- Return to Ready for Pickup is available only when none of that assignment has been used.
- Return to Warehouse moves uninstalled assigned stock back to its warehouse and records its condition.
Damaged, lost, and supplier returns
Use Remove Stock when an item permanently leaves usable inventory. Select Returned for a supplier return, Damaged for unusable stock, or Lost when the physical item cannot be located.
Do not edit the catalog record or quantity to represent these events. The dedicated actions preserve accountability in the transaction history.
